1. Reservation Deposits, Payments, and Refunds
A minimal deposit of $100 is required to confirm and hold a reservation. Deposits are non refundable. The balance of the reservation is due 30 days prior to the arrival date. If the reservation is cancelled within 30 days of arrival, a refund will only be issued if we are able to re-rent the home to another party for that same time period, less a $100 Adiminstrative Fee. All forfeitures are plus tax. Payments may be made by major credit card, certified check, money order or personal check. If paying by personal check payment must be received 45 days prior to arrival date.
Notice: Guests must be 21 or older to rent a cabin (unless it's a shotgun wedding).
2. Guest Arrivals and Departures
Arrivals are welcome beginning at 3pm EST. Please do not attempt to arrive and check in early unless prior arrangements have been made and are on file with our reservations office. Check in welcome packages (including rental information, security pass, keys, and map to the cabin, chalet or home) are provided at the Townsend View Cabin Rentals' office at 7249 E Lamar Alexander Pkwy, Townsend TN.
Departure from the rental cabin, chalet or home must be completed by 11 am EST. There will be a $45 charge (plus tax) per hour assessed for any late departure after 11am EST.
Before checking out, all trash is expected to be placed in trash receptacles, all dirty dishes and glasses placed in the dishwasher, appliances turned off, and the cabin, chalet, or home locked. Keys should be returned to the office or to the key lock box located at the office to avoid additional lost key charges.
3. Rental Property Occupancy
Overnight occupancy of cabins is strictly limited to the registered guests and the stated maximum occupancy for each property. In the event that overnight occupancy is found to be more than the stated maximum for that property, the remaining rental days and the security deposit will be immediately forfeited and guests will have to leave the property.
No loud house parties of any kind are permitted. If guests are found to be having a loud party or engaging in any disruptive activity in any of our properties, everyone will be asked to vacate the property immediately. No refunds will be issued and all deposits will be forfeited.
4. Restrictions on Pets and Smoking
All of our rental properties are designated as non-smoking. Smoking of any type inside the homes is NOT permitted at any time. Violations of this policy will be immediate cause for possible termination of the rental agreement and the guest will be liable for all cost of removing smoking odors through ozone treatments and thorough cleaning of the home.
WE DO NOT ALLOW PETS of any kind or size in the rental homes, unless that particular cabin is pet friendly. A large percentage of our rental homeowners are allergic to pets and cannot tolerate being in a home where a pet has previously been. Therefore, any tenant caught with a pet of any kind in a home will be responsible for an additional minimum charge of $500.00 to deep clean the home and will be responsible for all lost revenues while the home is unavailable while being cleaned and fumigated. Additionally, if a tenant is caught violating the pet policy or is found responsible for damage beyond normal wear and tear, and does not pay these charges within ten (10) days of being caught in violation, or notified of the damage, said tenant shall be responsible for all legal fees associated in the collection of these monies.

4. Restrictions on Pets and Smoking continued...
Small pets are permitted only in those rental properties that specifically identify and state that they are 'Pet Friendly' Properties. Other than those specifically identified properties, no animals of any type are permitted inside the premises of any rental property at any time. For properties designated as 'Pet Friendly', one or two small pets (up to 40 lbs. each) are allowed and there will be a non-refundable pet fee of $50 per rental. Violations of this policy will be immediate cause for possible termination of the rental agreement and the guest will be liable for any cost of removing pet odors including but not limited to ozone treatments and a thorough cleaning of the home.
5. Housekeeping and Property Amenities
An adequate supply of fresh linens and towels along with bath and hand soaps, toiletries, dishwashing liquid, dishwasher detergent, trash bags, toilet paper and paper towels are provided for each rental.
The kitchen is supplied with virtually everything you need to make your vacation comfortable. This includes all major appliances, cookware, dishes, flatware, cooking and serving utensils, coffee maker, can opener, and microwave.
Each rental property also has telephones (long-distance calls can only be placed using a calling/credit card or by calling collect), color television, stereo, and an alarm clock radio in each bedroom. Some rental properties also have a hot tub, pool table, air hockey game, foosball game or electronic dart board. Many of the cabins also have washers and dryers. Check individual property descriptions and amenities for details regarding each cabin.
Please review the Cabin Informational Binder, provided inside each cabin, for further details on the proper use and operation of all hot tubs and major appliances in the cabin.
Occupants must abide by all hot tub procedures, rules and precautions. Hot tubs are inspected immediately after each rental. If any restricted items such as food, soaps or bath products are found in the hot tub, you will be charged an excessive cleaning fee of $100. Covers should remain on the hot tub at all times when not in use.
6. Personal Property Liability
Townsend View Rentals will not be responsible for the loss, damage, or theft of any personal items left in the property. If personal items are found after departure, we will make every effort to contact the owner and make the necessary arrangements to return them to the owner.
7. Property Maintenance
Upon arrival, please report any damages or problems with the rental property to the reservations office as soon as possible. We make every effort to ensure that the properties and equipment are consistently maintained and in good working order. However, problems and failures do inevitably occur on occasion.
In those situations, we will do everything in our power to repair, replace, or rectify the situation immediately. Our maintenance staff is on call 24/7, as needed, to attend to these problems and situations. In the event of equipment, electronics, appliance failure, or failures due to any 'Act of God' event, we can not provide any refund of rental fees.
8. Emergency Contacts
After hours emergency telephone numbers are available in the welcome package and are posted in each rental property. THESE TELEPHONE NUMBERS ARE FOR MAJOR EMERGENCIES ONLY, PLEASE. (Heat is not working, smell of gas, no water, etc.) All other maintenance issues should be called in to the maintenance voice-mail option within the main office number. (These would include problems with the television, gas fireplace, hot tub, etc.) Our maintenance personnel check the messages every morning and will call you to schedule service at a time convenient to you.

9. Right to Change Rental Assignment
Occasionally, cabin properties are sold and property management transferred. While we will do everything we can to honor all existing reservations for that property, we may have to transfer a reservation to another, similar rental property. In these instances, we will guarantee to provide new accommodations equivalent to or better than the original, reserved property.
10. Hold Harmless and Indemnify
In consideration for this lease and use of the home, by taking occupancy of the home, I, the tenant, agree that I am responsible for my own safety while using the home in any capacity. Therefore, I release and indemnify Townsend View Rentals (and their respective affiliates, shareholders, officers, directors, employees, and agents) ["collectively management"] and the homeowner from any liability to me for losses, injuries, or damages that I may incur as a result of any use in the home that I am occupying; and I hold management and the homeowner harmless for any loss, damage, or cause of action caused by and to me while in the home.
Furthermore, I agree that any guests I invite and child/infant(s) I bring to the home must be accompanied and supervised by me at all times and that I am responsible for the safety of these guests and child/infant(s). Therefore, I indemnify management and the homeowner and hold them harmless for any loss, damage, or cause of action of any type brought by or on behalf of these guests or child/infant(s).
By my signature, I agree to the terms and conditions stated above, that I am the registered guest, and that I understand the Cancellation Policy.
